Hospitality Traineeship

The position is a full-time traineeship with a minimum of 12 months employment, including night & weekend work with the potential of further career opportunities within the Club.

The Workies offers a complete range of function facilities for formal, semi-formal and corporate events, dinners and ticketed shows.

You will be responsible for planning, organizing, managing and coordinating various types of events. You are required to assist in the development and implementation of the Clubs Brand Strategy and drive sales.

This is a Part Time Position with the high possibility of leading to Full Time after the probationary period. You will need to be willing to work a flexible roster, 5 day week involving Saturdays, Sundays including evening work.


Functions Coordinator Job Description

We are looking for a passionate, experienced and creative Functions Coordinator to join our team with a “Can Do” Attitude. As a Functions Coordinator, you will be responsible for organizing and coordinating events with a passion for providing excellent customer service and building client relations at every point of contact.

We are expecting you to be well presented, very well-organized and be able to work in close liaison with Senior Management and Catering Department. Communication skills, good time management and attention to detail are a must!


Functions Coordinator Duties and Responsibilities

  • Understand requirements and details of each event

  • Understand clients' needs and wants. To strive to anticipate customers needs wherever possible, and to react to these to enhance customer satisfaction.

  • To be fully conversant with facilities, services and promotions offered by the Club and where possible pass this information on to customers whenever the opportunity arises.

  • Plan and organize events with attention to financial and time constraints

  • Meet with clients and coordinate with them regularly, ensuring customer satisfaction

  • Communicates clearly and openly; face to face, verbally and in writing

  • Train and oversee personnel, supervise catering, waiting and bar staff at functions and events and ensure that the team are punctual, polite, courteous and helpful to guests and colleagues at all times.

  • Input towards staff rostering in conjunction with the House Manager.

  • To empower the team to be able to handle all guests feedback for positive and negative and record accordingly.

  • Sets and strives to achieve high personal performance standards.

  • Manage all event operations (preparing venue, food, drink etc.)

  • Do event budget planning, stay within the budget & track expenses regularly

  • Carefully oversee event happenings

  • Offer solutions to resolve problems in a timely manner and manage conflict effectively.

  • Evaluate event’s success and submit reports. Provide monthly reporting to the Board of Directors as required.

  • Ensure health and safety regulations are adhered to and that the team understands the importance of high personal hygiene standards.

  • Ensure that the Company’s brand and service standards are adhered to always

  • Flexible and adapts quickly and positively to new situations keeping emphasis on a balanced approach.

  • Thinks ahead and develops contingencies.

  • Has the confidence to actively source new function business and clients and drive sales.

  • Looks for fresh ideas and encourages creative thinking in the team.

  • Turns good ideas into realistic solutions, recognizes and utilizes ideas.

  • Constantly reviews for improvement.

  • Manages time and resources effectively. Delegates where required to get things done.

  • Excellent understanding of current events and food and beverage trends.

  • Ensure all marketing efforts serve to achieve immediate and long-term business goals; identifying and executing improvements

  • Promoting and liaising with the Clubs Sub-Body Groups and Affiliations.


Function Coordinator Requirements and Qualifications

  • Experience as Function / Event Coordinator or similar role

  • Hospitality Experience with a “Hands On” Leadership Style

  • Sales Experience

  • Possess current RSA. (First Aid Certificate is also desirable)

  • Proficient in POS, MS Office, Events Management Software and basic computer and administration skills.

  • Preparation and issuing invoices for clients.

  • Sense of ownership and pride in your performance and its impact on company’s success

  • Critical thinker and problem-solving skills with attention to detail

  • Can work independently yet are a team player focused on achieving goals and meeting targets.

  • Good time-management skills, ability to prioritise and meet deadlines

  • Excellent interpersonal and communication skills

  • Innate ability to build strong personal relationships.

  • Planning and organizational efficiency, with an attention to detail.

  • Knowledge of traditional and digital marketing, content marketing and social media.

  • Multi-Tasking: In addition to performing the duties of Functions Coordinator, during low peak times, there may be a requirement to work in other areas of the Club.
